Calendar Organizer Pro


Calendar Organizer Pro is an event planner that looks just like a planning book. It synchronizes with your calendar and is a universal app that can be installed on both the iPhone and iPad with a single purchase.


In addition to the normal calendar item attributes such as dates and alarms Calendar Organizer Pro events can have images, sounds, PDFs, colors, checklists, expenses, and locations. They can be assigned to other users of Calendar Organizer Pro , organized into projects and subprojects with as many levels as you would like, shown on a map, and even give you directions to the event. Calendar Organizer Pro makes it easy to see if an event is overdue, is over budget, has been assigned, or is close by. Calendar Organizer Pro even allows the context, priority, status, and tag attributes to be changed to customize the app.

Calendar Organizer Pro is “Getting Things Done” compliant because it allows you to capture events or TO DOs in your inbox; break them into subtasks to clarify how to accomplish them; and organize them by project, priority, or status.

The Calendar Organizer Pro planner’s left side has calendar functions and the right side offers summaries of all your events. Each side has tabs at the bottom to move you to different sections of your planner.

TOP BUTTONS

Add – This button adds a blank event.
Share – This button takes a picture of the page that is showing and then allows the image to be shared.
Other Side – This button moves to the right side of the planner.

INBOX PAGE

The events are listed by end date on individual rows with their times, goals, and locations. Touch an event to view it, touch and slide the entire event to the right to mark it complete, or touch and slide the entire event to the left to delete it.
When an event is marked complete it is removed from the inbox page.
When an event is deleted all of its attachments are also deleted and nothing can be recovered.

OVERDUE PAGE

Events are overdue if their end date has past and they have not been market complete. The events are listed by end date on individual rows with their times, goals, and locations. Touch an event to view it, touch and slide the entire event to the right to mark it complete, or touch and slide the entire event to the left to delete it.
When an event is marked complete it is removed from the overdue page.
When an event is deleted all of its attachments are also deleted and nothing can be recovered.

MONTH PAGE

The month page has two sections. The top section has calendar months and can be scrolled up or down to other months by swiping. It shows the number of events on any given day with dots. The bottom section has rows for the events in the day selected. The rows can be scrolled up and down to show more events by swiping.

WEEK PAGE

Previous – This button scrolls to the start of the previous week
Today – This button scrolls back to the current day
Next – This button scrolls to the start of the next week
The section with events can be scrolled to show more days and times. The lower section shows the events as cells in the calendar. Events marked all day are shown in the grey section above the other events.
Touching an event will view it.

When an event is marked complete it shows a green checkmark on its picture. If the event does not have a picture its separator bar turns green.

SETTINGS PAGE

Sync with Device Calendar – The Calendar Access toggle allows Calendar Organizer Pro access to the calendars and events on the device. It must be enabled to enable syncing between Calendar Organizer Pro and the device calendars. When enabled the device will ask if you would like to allow access and you must say yes for Calendar Organizer Pro to access your calendars. If you say no access can later be granted by going to Settings -> Privacy -> Calendars. The Master Sync toggle initiates syncing with any calendars on the device. This means any events on the device calendars will be added to Calendar Organizer Pro and any events created in Calendar Organizer Pro will be added to the default device calendar. All the calendars on the device are shown on the rows below the master sync row and the default calendar is noted with the red Default text. The default calendar can be set in Settings -> Mail, Contacts, Calendars -> Default Calendar. 

WARNINGCalendar Organizer Pro uses the start date of an event to sync. If you change the start date of a synchronized event outside of Calendar Organizer Pro the event will be duplicated.

Customize Names – These four event attribute names can be changed if you would like to use them for something else.

EVENTS PAGE

The events page shows every event in Calendar Organizer Pro. It can be organized into groups using the organize button. Touch and hold any event to select it then drag it to a new group to quickly make the event part of the new group without having to view the event. Touch an event to view it.

PROJECTS PAGE

This page has two sections. The top section organizes every event into folders based on their project and master project attributes. All the events from the same project are organized together in one folder. That folder is then shown beneath the folder containing those events’ master project. This process creates a hierarchy of project folders that is limited only by the memory on the device.
The bottom section shows the events in the selected folder. The events are listed by end date on individual rows with their times, goals, and locations. Touch an event to view it, touch and slide the entire event to the right to mark it complete, or touch and slide the entire event to the left to delete it.
To navigate the folders select one. It will be centered, the projects it contains will be shown in the bottom section, and the folders of any sub projects will be shown below it. Select another folder to continue navigating the hierarchy.

ALERTS PAGE

This page displays a row for every alert you have set in Calendar Organizer Pro . The times listed on each row are the times of the alerts. Touch an alert to see the associated event.

MAPS PAGE

This map shows a pin for every event that has a location. Touch a pin to get directions to the event (the car button) or to show the event (the arrow button).

ASSIGNED PAGE

This page displays a row for every event you have assigned. The events are listed by end date on individual rows with their times, goals, and locations. Touch an event to view the assignment, touch and slide the entire event to the right to mark it complete, or touch and slide the entire event to the left to delete it.

EXPENSE PAGE

This page displays a row for every event with expense items. This row shows the total expense, the total budget, and the variance for each event. Touch the expense row to go to the expense page for the event. If the event is over budget the variance will be shown in red.

SORTING OPTIONS PAGE

This page is accessed from the bookmark icon at the top and allows changes to the grouping and sorting of the events on the Events page. For example if ten events have a status of Confirmed, another five have a status of Tentative, and the Status button is pressed on the Sorting Options Page then the events will be shown in two separate groups. One group with ten events will have a heading of Confirmed and separately there will be one group with five events which will have a heading of Tentative. The ascending and descending buttons control whether the headings are shown alphabetically.

TOP BUTTONS


Cancel – This is the left hand button if you are adding a new event. It allows you to cancel adding the event.

Copy – This is the left hand button if you are changing an existing event.

Share – This button allows you to share an event with other users of Calendar Organizer Pro. You can select whether to include the attachments such as images, PDFs, and voice memos. Be careful adding the attachments if the event is larger than ~25MB it can be difficult to share. Events can be shared in a variety of ways including email, Dropbox, etc.

Create – This is the right hand button if you are adding a new event. It creates the new event.

Done – This is the right hand button if you are changing an existing event. Changes are saved as you add them so this just moves back to the planner.


EVENT PAGE


The event page has check box buttons to allow the event to be added or removed from the inbox, flagged or not flagged to allow the event to be grouped separately on the Events page of the right hand side of the planner, or marked complete or not marked complete. 

The location box allows the input of multiple lines of text to show phone numbers or other location information about the event. The address should not be input here. Addresses are added on the locations page.

The context, priority, status, and tag boxes allow organization of information such as if the event is at work, if it is high priority, if you are confirmed, and any other tag. These boxes remember previous inputs and will suggest entries as you type. These boxes can be renamed on the settings page.

The master project and project boxes are used to create the folders on the projects page of the right hand side of the planner. These boxes remember previous inputs and will suggest entries as you type.

The note box in grey can be used to capture any notes related to the event.


DATES PAGE


The Dates page allows the input or modification of event dates. The top check box button allows the event to be categorized as an all-day event. Events such as holidays or birthdays are examples of all-day events. To the right of the all-day check box button is the event time stamp showing the last time the event was modified. 

Below those buttons are the Start and End dates and check box buttons. To modify the Start date select the Start check box and select a new date with the date spinner at the bottom of the page. Likewise to modify the End date select the End check box and select a new date with the date spinner at the bottom of the page. It is possible to set the event to a standard length by selecting the length from the buttons below the end check box button. Incrementing the year of the event is possible with the year -/+ buttons below the end date check box button.

It is possible to create simple repeating events with the repeat buttons in the middle of the page.


CHECKLIST PAGE


This page can add as many checklist items to an event as the device memory will allow. Add checklist items with the + button. To delete a checklist item touch the delete button until it turns red and then touch the checklist item. To share just the checklist in a variety of apps touch the share button. The checklist will be exported in an XML format that can be imported by most other programs.


ALARM PAGE


This page sets alarms for the event. The alarm will trigger whether Calendar Organizer Pro is running or not. Input the message to be shown, the date to fire the alert, and how often for the alarm to trigger and then enable the alarm with the checkbox button. To cancel the alarm just deselect the checkbox button.


LOCATION PAGE


The location page requires an internet connection and shows the current location.

The “Show Typed Location” button tells Calendar Organizer Pro to attempt to set the event location from the information typed into the location fields. If the address is found the map will scroll to the location and a pin will be placed there.

The “Use Current” button tells Calendar Organizer Pro to set the event location from the current location. The map will scroll to the location and a pin will be placed there. In addition Calendar Organizer Pro will attempt to fill in the location fields from the current location.

The “Drop Pin” button tells Calendar Organizer Pro to set the event location in the middle of the map. A pin will drop in the middle of the map to mark the location. In addition Calendar Organizer Pro will attempt to fill in the location fields from the pin location.

Touch a pin to get directions to the event (the car button).


ASSIGNMENT PAGE


The assignment page allows tracking events that have been given to other users of Calendar Organizer Pro . Fill in your name, the person to be assigned the event, their email address, and a note. When the assignment check box button is selected the information will be used to share the event and the event will be tracked on the assign page on the right side of the planner.


EXPENSE PAGE


This page can add as many expense items to an event as the device memory will allow. Add expense items with the + button. To delete an expense item touch the delete button until it turns red and then touch the expense item. To share just the expense items in a variety of apps touch the share button. The expense items will be exported in an XML format that can be imported by most other programs.


IMAGES PAGE


This page can add as many images to an event as the device memory will allow. Add images with the + button or from email. To delete an image touch the delete button until it turns red and then touch the image. The Paste button allows pasting images from other events. To paste an image select the image in the other event and touch Copy. Then touch Paste in any event to duplicate the image and add it. Images can be pasted multiple times.

Touch and hold an image to reorder the images. The image in the top left corner will be shown as the event’s image in the rest of Calendar Organizer Pro .


To add images from email touch and hold the image attachment, select "Quicklook", touch the image again when it is on the black background, select the share button in the upper right, and then select the Calendar Organizer Pro icon.

JPG and PNG files can be added to Calendar Organizer Pro.


PDFS PAGE


This page can add as many PDFs to an event as the device memory will allow. PDFs can only be added from email. To delete a PDF touch the delete button until it turns red and then touch the PDF. The Paste button allows pasting PDFs from other events. To paste a PDF select the PDF in the other event and touch Copy. Then touch Paste in any event to duplicate the PDF and add it. PDFs can be pasted multiple times.


To add PDFs from email touch and hold the PDF attachment and then select the Calendar Organizer Pro icon.


VOICE MEMOS PAGE


This page can add as many voice memos to an event as the device memory will allow. Voice memos can be recorded here or added from email. To delete a memo touch the delete button until it turns red and then touch the memo. The Paste button allows pasting memos from other events. To paste a memo select the memo in the other event and touch Copy. Then touch Paste in any event to duplicate the memo and add it. Memos can be pasted multiple times.

To record a voice memo type in a name, which will activate the record button. Touch the record button to start recording. While recording the record button turns red. Touch the recording again to stop recording and save the voice memo.


To add Voice Memos from email touch and hold the attachment and then select the Calendar Organizer Pro icon. Most sound files can be added to Calendar Organizer Pro.


COLOR PAGE


Touch any color and brightness to set the event’s color.


ATTACHMENT TOOLS


X – This button closes the image, voice memo, or PDF.

Copy – This button lets Calendar Organizer Pro know you wish to paste the image, voice memo, or PDF into another event.

Play – This button will play the voice memo. Memos sometimes have a low volume.

Export – This button allows the image, voice memo, or PDF to be exported from Calendar Organizer Pro.
